How do I log follow-ups, imports, and cleanup in CRM?

For office teams · Updated September 21, 2026

Use this when maintaining outreach history and contact data.

Log interactions

Open a contact or company and log a Note, Call, Text, Email, Meeting, or Site Visit. Calls record direction and outcome, and emails and meetings record outcomes. Each log can schedule the next follow-up date with a note.

Follow-up queues

The Follow-ups tab groups contacts into Overdue, Today, This Week, and Later, and lets you snooze a date forward. Overdue and today follow-ups also feed Today's Plan.

CSV import

Admins see an Import tab that accepts CSV exports from HubSpot, Salesforce, JobNimbus, ServiceTitan, or spreadsheets, with a template you can download. Company Name plus a contact name are required, and Email or External Record ID makes dedupe safe. Review the preview of importable contacts, matched companies, and skipped rows, resolve unmatched contact owners, then import; existing contacts are updated instead of duplicated.

Duplicate cleanup

Admins see a Cleanup tab that scans for duplicates and groups them as Exact matches, Likely, and Possible; switch between Companies and Contacts. Pick the record to keep and merge; CRM, customer, project, and follow-up history moves to the survivor, and you can undo a merge from Cleanup and then History.

Archiving contacts

When someone leaves a company or retires, archive the contact with a reason instead of deleting. Archiving hides them from pickers, search, and daily plans, keeps all history, and you can unarchive anytime.
