How do I use Fleet vehicle status, checks, and service?
For office teams · Updated July 7, 2026
Use this when vehicles need operational tracking.
Vehicle statuses
Vehicles are Available, In Use, Out of Service, or Retired. Filter the Fleet list by status, and watch for badges like Service Overdue, Service Due Soon, Doc Expired, and Doc Expiring that flag readiness problems.
Checkout from Today
- Field users check out a vehicle from Today at the start of the shift.
- The preflight check records starting mileage and fuel level.
- On return, the postflight check records ending mileage and fuel, and gas fill-ups can be logged during the day.
Vehicle detail
Open a vehicle to review Vehicle Info, Service Schedule, Upcoming Service, Service Log, Fuel Log, Documents, and Vehicle Checks & Issues. The Fleet Follow-Up section gathers items that need review.
Service schedules
Org default service schedules apply to the whole fleet, and you can add a vehicle override when one vehicle needs a different interval. Completed work is recorded in the Service Log.
Documents and readiness
Keep registrations, insurance, and inspections current. Expiring documents raise warnings before they lapse, so problems surface ahead of dispatch.
