How do billing backups work?

For office teams · Updated October 26, 2026

Use this when you send a payer the labor behind an invoice.

Set up rate classes

  1. Open Settings › Operations and find Labor rate classes.
  2. Add a class for each kind of labor you bill, such as Technician or Supervisor.
  3. Use the arrows to set the order they print in.
  4. Archive a class you no longer use. People and blocks that have it keep it. Rate classes are labels only and do not set rates.

Give people a class

Open Team › People, open the person, and go to the Pay tab. Set Rate class under Compensation. Their hours print under that class. In the shift editor, a time block shows its Rate class, and Override changes it for that block only.

Build the backup

  1. Open Finance › Reports, choose Labor, and select Open full report.
  2. Pick the project. The Labor Log shows hours by project with each person's days.
  3. Approve any shifts that are not approved yet. Exports leave out hours that are not approved.

Export it

  1. Select Export PDF.
  2. Pick Daily Breakdown for one row per person per day, grouped by rate class, or Totals Only for rate class subtotals.
  3. Pick Show Tech Names, or Crew Totals to show Tech 1, Tech 2.
  4. Add Entry notes or the Time blocks page if the payer needs them.
  5. For a spreadsheet instead, select Payer CSV.

On the web only

Rate classes, the Labor Log, and exports are on the web.
