How do I record and track invoices?
For office teams · Updated September 21, 2026
Use this when logging an invoice you issued so ContentsOps can track collection and feed the P&L.
Record an invoice
- Open Finance and go to Receivables.
- Click Track Invoice Record.
- Choose the customer and the project or claim, enter the amount, and confirm the payer. The payer defaults to the project client, falling back to the homeowner.
- Add the invoice source and external invoice ID if the invoice lives in another system, then save.
Reaching the P&L
Tracked invoices drive the billed figures on the Overview tab and the project financial rows, so record every invoice you issue.
Split billing
Open the invoice to see its detail panel. Under Split billing, use Add share to divide the amount across multiple payers, such as a carrier and a homeowner.
Track payment status
Open the invoice and use Record Payment as money arrives; the invoice shows its open balance until it is paid. Recording payments requires the Record Payments permission. Write off or reprice from the same panel when the balance will not collect as issued.
Promise to pay
Follow-ups live on the Payers view inside Receivables. Open the payer, choose Log a follow-up, and capture the promise to pay date and next action so collections stay scheduled.
