How do I manage roles, access, and settings?

For admins · Updated September 21, 2026

Use this when configuring the organization or reviewing who can access what.

Roles and capabilities

Everyone has one role plus optional capabilities. Assign the role on the person record in People. The Roles & Access tab, available from both People and Settings, lists everyone who holds elevated access — admins and people with sensitive capabilities — as an audit reference; roles themselves are assigned on the person record in People.

Settings tabs

Settings is grouped into General, Operations, Warehouse, and Customers & Sales, covering Organization, Notifications, Roles & Access, Data, Operations, Event Workflow, Schedule, Projects, Estimate Rates, Storage, Materials & Supplies, Restoration, Contents Catalog, CRM, Communications, Programs, and Signatures. Each tab holds the defaults for that area, and tabs only appear when your role can manage them.

Communications settings

The Communications tab controls what customers see, where replies go, and quiet hours for messaging. Message copy and automation live in the Communications hub itself, not in Settings.

Time off configuration

PTO policies and the time off roster are managed from the Time Off tab in People.

Best practice

Grant the smallest role and fewest capabilities that let the person do their work. Avoid broad financial, HR, or settings access unless needed. Review the Roles & Access tab periodically to confirm each person who holds elevated access still needs it.
