How do I invite, edit, or deactivate people?

For admins · Updated October 12, 2026

Use this when adding, updating, or offboarding team members.

Where to look

People has four tabs: Employees, Org & Approvals, External Workers, and Checklists. Day-to-day employee records live on Employees. Checklists appears for people who manage HR or the team.

Invite

  1. Open People, go to Employees, and choose Invite, then Invite one.
  2. Enter the name, email, role, phone, start date, and language. Language sets the invite email and the app language. A supervisor is optional.
  3. Leave Start onboarding checklist on to start your default onboarding checklist when the invite is sent. The switch only appears when a default is set.
  4. Use Invite many to invite several people at once. A pasted CSV can include phone, start_date, and language columns, and the checklist switch applies to everyone.

Invite links

Invite links work for 7 days. After that the person can ask for a new link from the expired page, or you can resend it.

Invites panel

The Invites tile on Employees shows how many invites are pending or expired. Select it to open the Invites panel, where each invite shows when its link works until or when it expired. Use Resend to email a fresh link, or Revoke to cancel an invite.

Onboarding defaults

On the Checklists tab, the Onboarding defaults card sets the default onboarding checklist and the Auto-send signature documents switch. Signature documents are sent automatically only when the person starting the checklist has HR access; otherwise the checklist starts and the documents wait for HR to send them.

Edit

Open the employee to update profile, employment, access, and reporting details based on your permissions. Reporting lines and approval chains live on the Org & Approvals tab. Contractors and temp labor live on External Workers.

Deactivate

Use Deactivate Employee on the person record. It previews upcoming assignments, time off, and open time records before you confirm.

Do not delete history

Past assignments, labor, timesheets, and Project Costing history should remain intact after deactivation.

Best practice

Review access on each person record periodically to confirm each active person still has the smallest role that fits their work.
