How do I import CRM contacts?
For office teams · Updated October 26, 2026
Use this when you move contacts from HubSpot, Salesforce, JobNimbus, ServiceTitan or a spreadsheet into CRM.
Before you start
Import lives in CRM › More › Import and shows only if you can manage customers. It brings in CRM companies and contacts, not customers or projects, and needs a CSV file.
Import steps
- Open CRM › More › Import.
- Choose Download Template and fill it in, or use your own export.
- Give each row a Company Name and a contact name (Contact Full Name, or Contact First Name and Contact Last Name). Add Email or External Record ID so existing contacts match safely.
- Choose Select CSV File.
- Review the Import Preview: CSV Rows, Importable Contacts, Companies Matched and Skipped Rows, plus Owner Mapping and Company Mapping.
- If it lists Contact owner names that do not match active team members, fix those names in the file and select it again. Import stays off until every owner matches.
- Choose Import with the count shown, such as Import 120 Contacts.
What happens to existing records
Existing contacts are matched by External Record ID first, then email, and updated instead of duplicated. Matching companies are reused. Rows without a safe match key are skipped. With no Contact owner column, imported contacts stay unassigned. Import Complete shows what was created and updated.
On the phone
Import is web only.
