Where do notes and instructions belong?
For everyone · Updated October 12, 2026
Use this when you are not sure where to put access details, work instructions, or office context.
Summary
A short description of the event. Keep it to what the work is, so anyone scanning the record understands it quickly.
Event Instructions
Event-specific direction for the crew, such as what to do on site and anything unusual about this visit. This is the main field the crew reads before starting.
Access Info
Gate codes, lock boxes, parking, and arrival details for this visit. New events can inherit the access instructions saved on the project, so keep claim-level access details on the project and let events pick them up.
Customer Notes
Customer-wide relationship context. Avoid putting one-claim access instructions here unless they truly apply to every future project for that customer.
Best practice
Match the note to its lifespan. One-visit details belong on the event, claim-level details on the project, and permanent details on the customer.
